A good supplier handoff is simple: share the right package, make the revision clear, keep feedback tied to the file, and move approved changes into the formal record. Suppliers should know exactly what they are reviewing and which released revision is current.
1. Setting up suppliers for controlled collaboration
Start by deciding what the supplier actually needs to see and do. Access should match the handoff, using the lowest level of permission required and following least-privilege guidance.
Guest access for file review: Share individual files with suppliers who only need to inspect a design or leave contextual feedback. Guest access is read-only by default and does not expose the wider workspace or project.
Project Viewer access for broader visibility: Use project-level viewer access when a supplier needs controlled visibility across a defined project rather than a single shared file. Access and download options should be configured according to the handoff requirements.
Collaborator access for file contributions: Grant collaborator access only when a supplier is expected to upload or contribute engineering files. Check-in/check-out should be used to prevent conflicting edits.
ECO participation for formal changes: When supplier feedback affects a released design, route the proposed change through an Engineering Change Order with defined reviewers and approvers. ECO workflows are available on applicable CAD ROOMS plans.
For distributed and multi-site teams, browser-based viewing, comments, and notifications can support reviews across time zones. Share only the files or project scope required for that handoff.

2. Defining the released manufacturing package
A supplier handoff is clearer when the package is explicitly defined. A released manufacturing package should identify:
released CAD revision
drawings
neutral exports where needed
specifications
supplier-relevant BOM extracts or part lists exported from the authoritative product-data source
approval status
the current release the supplier should manufacture, inspect, or quote against
This matters because “shared with supplier” is not the same as “approved for manufacturing.” The package should answer one simple question: what exact information is current and approved for external use right now?
3. Keeping version history clear
A structured PDM/PLM workflow is more reliable than informal filenames such as Final.
Use stable filenames such as Housing_Assembly.SLDASM.
Let the system manage revision, version history, and release status.
Share a defined package with the supplier, tied to that status.

Coordinate supplier reviews with notifications
CAD ROOMS supports web and email notification preferences, activity-category settings, ECO status notifications, reviewer notifications after ECO submission, and @mentions. For each supplier handoff, teams should still name the responsible engineer, reviewer, and approver explicitly.
5. Updating, releasing, or revoking access after change
Once supplier feedback is accepted, the engineering team should update the source files, contribute the revision into project history, and release the correct package.
A practical path looks like this:
Share a controlled review package.
Collect supplier comments, questions, or manufacturability feedback.
Engineer checks out the file and updates the design.
Engineer completes a Contribute action so the change is traceable in project history.
Review the updated package.
Run ECO review if required.
Release the updated package as the current manufacturing data.
When the approved data changes:
notify the impacted supplier or reviewer
mark the previous package as superseded or obsolete
revoke or narrow access where necessary
issue the new released package
confirm which revision is now current for manufacturing, inspection, or quoting
